Now, as the world squares with the unprecedented difficulties of the novel coronavirus, businesses are more invested than ever in developing strategies for effective crisis management in the workplace.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Crises<\/span> <span style=\"font-weight: 400;\">can come in any shape, form or size. Companies may face dire internal problems with operational systems, technology or leadership, or be caught up in larger global currents. How were businesses able to plan for such things as the <\/span><a href=\"https:\/\/www.nytimes.com\/2019\/11\/13\/world\/asia\/hong-kong-protests.html\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">2019 protests in Hong Kong<\/span><\/a><span style=\"font-weight: 400;\">, the <\/span><a href=\"https:\/\/www.washingtonpost.com\/gdpr-consent\/?next_url=https%3a%2f%2fwww.washingtonpost.com%2fbusiness%2feconomy%2fa-guide-to-the-financial-crisis--10-years-later%2f2018%2f09%2f10%2f114b76ba-af10-11e8-a20b-5f4f84429666_story.html\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">financial crisis of 2008<\/span><\/a><span style=\"font-weight: 400;\"> or natural disasters such as <\/span><a href=\"https:\/\/www.history.com\/topics\/natural-disasters-and-environment\/hurricane-katrina-video\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Hurricane Katrina<\/span><\/a><span style=\"font-weight: 400;\">?<\/span><\/p>\n<p><span style=\"font-weight: 400;\">With a plan of action for how to deal with problems, employee training and communicative leadership, businesses can not only overcome present threats but use each crisis as an opportunity to show empathy and cultivate employee engagement. 42% of poll respondents reported that they were better off after facing a crisis. Here, we\u2019ll think about the <\/span><b>crisis management response that sets these organizations up for success<\/b><span style=\"font-weight: 400;\"> even when the situation sets them up for failure.<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">The Role of HR in Crisis Management<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">While many companies safeguard their operation systems, infrastructure and public relations during a crisis, they may fail to account for the human side of crisis management \u2014to the detriment of the organization. This is a time of many <\/span><a href=\"https:\/\/factorialhr.com\/blog\/hr-challenges\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">HR challenges<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">As the department is responsible for <\/span><span style=\"font-weight: 400;\">promoting employee welfare<\/span><span style=\"font-weight: 400;\">, the role of HR in a crisis is to <\/span><b>protect employee needs<\/b><span style=\"font-weight: 400;\"> in planning, training and enacting crisis management. It\u2019s <\/span><a href=\"https:\/\/www.effo.gov.hk\/en\/reference\/publications\/crisis_management.pdf\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">usually depicted as a circle<\/span><\/a><span style=\"font-weight: 400;\">, with one step leading to the next.<\/span><\/p>\n<h3><span style=\"font-weight: 400;\">Preparedness<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Preparedness starts with <\/span><b>anticipating high-risk problems<\/b><span style=\"font-weight: 400;\"> for a particular business. This may vary widely; different circumstances may pose dire problems for particular sectors while leaving other industries untouched.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">With <\/span><a href=\"https:\/\/www.shrm.org\/resourcesandtools\/tools-and-samples\/toolkits\/pages\/managingemergencyanddisaster.aspx\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">these situations in mind<\/span><\/a><span style=\"font-weight: 400;\">, companies can start contingency planning, whether this means stockpiling equipment and supplies for expected shortages, coordinating evacuation plans, or creating policies around sick leave.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Even before there is a crisis, companies should <\/span><b>identify a dedicated crisis management team<\/b><span style=\"font-weight: 400;\"> responsible for responding to emergencies and award them a budget so that <\/span><i><span style=\"font-weight: 400;\">when<\/span><\/i><span style=\"font-weight: 400;\"> (and not <\/span><i><span style=\"font-weight: 400;\">if<\/span><\/i><span style=\"font-weight: 400;\">!) disaster strikes, they can hit the ground running.\u00a0<\/span><\/p>\n<h3><span style=\"font-weight: 400;\">Response<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Once it becomes clear that a crisis is underway, the crisis management team can organize a response accordingly. It will be their duty to determine a plan of action, to communicate it clearly to employees and invested parties, and to make sure that everyone is on the same page.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Many crises cannot be anticipated (like COVID-19) which means each crisis management case will likely be different. To achieve the flexibility necessary to respond to any situation, businesses should designate<\/span><b> lines of authority<\/b><span style=\"font-weight: 400;\"> (who is in charge), <\/span><b>means of coordination<\/b><span style=\"font-weight: 400;\"> (how they communicate) and <\/span><b>give<\/b> <b>key individuals the autonomy to react swiftly<\/b><span style=\"font-weight: 400;\">. Fluidity and a willingness to adjust course as new developments arise is key to crisis management.<\/span><\/p>\n<p><b>Effective response teams will seek to:<\/b><\/p>\n<h4><span style=\"font-weight: 400;\">1. Establish the Facts<\/span><\/h4>\n<p><span style=\"font-weight: 400;\">During times of crisis, It is vital that businesses take the time to gather the facts of the situation and accrue data to better tailor their response. With more information, companies can better determine how the crisis will affect them in the long, short, and mid-term and strategize to mitigate the fallout.\u00a0<\/span><\/p>\n<h4><span style=\"font-weight: 400;\">2. Collaborate Internally and Externally<\/span><\/h4>\n<p><span style=\"font-weight: 400;\">Crisis management in an organization can be complex because of the number of people affected. Identify stakeholder groups: employees, customers, business partners, suppliers, shareholders, etc. How much information needs to be shared and with what frequency? It can be a delicate balance to <\/span><b>keep all parties up to date without causing communication fatigue<\/b><span style=\"font-weight: 400;\">. The best strategy is to respond early and keep everyone in the loop about when updates will be issued. Show that the business is not just responding to a crisis, but actively managing it.<\/span><\/p>\n<h4><span style=\"font-weight: 400;\">3. Communication, Communication, Communication<\/span><\/h4>\n<p><span style=\"font-weight: 400;\">Communication is the key to effective crisis management in the workplace. A company\u2019s messaging during a crisis should be consistent and authentic. Businesses should express sympathy and outline apprehensions and how they are being addressed. It will be vital to communicate with employees regularly. Transparency will help to foster engagement and win support.<\/span><\/p>\n<h3><span style=\"font-weight: 400;\">Recovery<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">As the crisis winds down, it will be important that the company support employees as things transition back to normal. This is a pivotal moment in emergency crisis management because it affords <\/span><b>time for reflection<\/b><span style=\"font-weight: 400;\">. What went well with the response and what was ineffective? COVID-19 poses both a public health and economic crisis and has elicited <\/span><a href=\"https:\/\/factorialhr.com\/blog\/emergency-paid-leave\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">legislative responses<\/span><\/a><span style=\"font-weight: 400;\"> at the regional and national levels.
