Factorial One’s newest product updates set the benchmark in a new era for AI in HR

After every quarter, the product teams at Factorial come together for one of our most important core rituals, which is the Quarterly Product Review. And I’ll be honest with you: it’s always one of my favorite weeks of the year.

Why? Because there’s something uniquely energizing about sharing new products, aligning on priorities, and deciding what real impact we’re going to have on our clients’ day-to-day. It’s tough, intense, and completely worth it. Over 4 days, all 25 product teams at Factorial gathered for this edition with a clear priority: enabling AI at Factorial through our agent, One, while dramatically simplifying and automating our users’ lives.

The energy in the room was hard to miss. Everyone was buzzing about new products, new features, new ways to add value to what we’ve already built. In short, we came together to find the best way to enable thousands of clients, at scale.

It’s no small challenge, but as you’d expect, the result is a team effort that makes every minute invested in it worthwhile. Today, we’ll walk through some of our latest product launches together, with a special focus on how AI is becoming a genuine superpower in the Human Resources department.

One’s goal: Enable AI in HR in a way it becomes every manager’s go-to tool

When prioritizing the launches of such high-impact features which will implement AI in HR, there’s always debate, because we are implementing new ways to solve the pains our clients face on a daily basis. That’s a big deal, and something that as the Product Manager of One, our new AI agent, I’m fully aware of. The most intense debate we had in the room was split in two: on one hand, how are we going to build products with AI here at Factorial; and on the other hand, how can we boost our product with AI in order to provide value as soon as possible to our customers.

As you can see, providing value to our users on a daily basis is what moves the needle for us, which helps explain why building useful products is always our main priority. These have been our main areas of focus: “Right now, we’re focusing on three pains: manual tasks and questions related to policies, how we can help make the expense rejection or approval process easier, and provide to our customers an easy way to consume data in our platform”, admits Yañez.

The first step of enabling AI in HR at scale was to make it easy to access and even easier to use. That’s why One is now available to all of our users on mobile, allowing users to carry all of their company processes in their pocket, powered by our own AI. We know work is a complex subject, that is why we decided to prioritize this big launch for everyone.

But this isn’t the only launch we’re releasing as One becomes more and more powerful: now, One will also let managers know when their team members are available, when they accept their shift schedule, and will also share best possible recommendations and best practices to the team from a mindful approach. One owns the shift schedule planning, your teams create their requests depending on their needs, and the approval process is just one click away from their managers. This way, we support one of the most critical values in every business: availability.

We’ve built pre-defined reports in our Analytics section to simplify how teams access their data, making sure they know where every piece of information comes from, centralising it all in a single platform powered by AI at the core of your HR processes. Talking about prompts, and taking into account they’re becoming quite an important part of our daily lives, you now can create any kind of survey at Factorial from a single prompt with the help of One. In addition, we’ve also empowered One for those who specialize in talent recruiting, one of the most critical processes for every successful organization. In this new product update, we’ve automated the process of creation of an offer letter. This means, now, after filling the variables structure, the offer letter will be created straight from a template, and will use the same information to draft the contract once the offer letter is signed. Easy, compliant, and ready to boost your HR team’s processes. 

Policies now become one of Factorial’s foundational concepts

Every well-run company runs on policies: strategic blueprints designed to guide actions in any scenario. Yet, most of the time, these documents live in forgotten folders or buried in inboxes. Starting now, policies become a foundational concept across the entire Factorial platform.

What does this mean in practice? From time off to compensation and expenses, One helps your team manage and apply policies automatically. This allows Factorial to support every manager in their daily work, eliminating the constant back-and-forth between teams. As for employees? One provides the answers they need about company policies, exactly when they need them.

There’s more to this: thanks to One, you can now detect the trends and hot topics that are keeping your employees asleep at night. Now, at the policies dashboard, you get complete visibility about the answers of One, allowing you to change the style of communication to make it more fluid depending on your company needs.

But we didn’t stop there. By combining the power of policies with Factorial’s finance products, you can now fully configure your expense approval workflow. When an employee submits an expense, One automatically checks for policy compliance and guides the manager through the approval process, preventing unnecessary delays.
